How do I Archive a member a member record in my scheme?

Keep your schemes organised by archiving member records in your schemes as needed

Archiving member records in a scheme is a necessary part of keeping the scheme tidy and ensuring that members who have left the scheme, or who will no longer be participating in the scheme for any other reason, will still appear in searches and reports even while not being an 'active' participant (i.e. having an availability status).

While archived, member records are still available for reference and for reporting purposes.

Archived records can also be 'reactivated' be rejoining them to the scheme so that they may become active members again.

Instructions

Archiving member records as a bulk operation is done from the members datascreen. Click here for a guide to bulk-archiving member records.

Archiving a single member record via their profile can be done by visiting the member’s profile page and then clicking on the Schemes tab.

Once the tab has loaded, the schemes that the member is a participant in are shown. Click the Archive button.

After clicking the Archive button, a pop-up is shown which allows for a note to be added the member’s profile detailing why they have been archived.

SUMAC® is smart enough to remember the type that the member was before they were Archived, so if they are re-joined into the scheme, they’ll retain their previous member role/s (mentor, mentee, coach etc.).
